Zcash Foundation is a public charity dedicated to building and maintaining financial privacy infrastructure, with a primary focus on the Zcash protocol and blockchain. Founded in 2017, the foundation operates within the financial technology and capital markets ecosystem, specializing in privacy-preserving digital assets. Its work centers on research, development, grantmaking, and advocacy to support secure and consent-based financial systems.

The Challenge
Zcash Foundation managed a growing library of humanitarian aid and privacy research using manual spreadsheets filled with URLs and references. This made it difficult and time-consuming to search, compare, and synthesize insights across multiple sources.Staff and collaborators had to open each article individually, extract key themes, track pilot programs, and compile findings by hand. Adding new resources required repetitive data entry, increasing the risk of duplicates, missing fields, and inconsistent records.The foundation also wanted partners and external users to query this research easily, but without automation or a chatbot interface, discoverability was limited and scaling the knowledge base became increasingly difficult.
The Solutions
To solve this, we built a Zapier-based automated research ingestion system that connects the Zcash Foundation’s library directly to a chatbot interface. This removed manual spreadsheet work while ensuring consistent structure and reliable data.New resources are approved with a single click, automatically deduplicated, and enriched with clean titles and categories using AI. All entries are stored in a centralized Zapier Table as a single source of truth.The structured library is then connected to a chatbot, allowing users to ask complex questions and receive synthesized insights with links to original sources, making the research faster to access and easier to scale.
Research Submission & Approval

New research articles are submitted and approved directly from Gmail. When a team member clicks the approval button, Webhooks by Zapier captures the URL and sends it into the automation flow, removing the need for manual data entry.
Research Data Enrichment & Structuring

Once approved, AI by Zapier automatically generates clean titles and categories for each article. The enriched data is then stored in Zapier Tables as a single, structured source of truth for the research library.
Insight Delivery & Stakeholder Updates

When new or updated research is added, Google Sheets triggers automated workflows. After a controlled delay, Gmail sends formatted notifications, while the structured data powers a chatbot that delivers fast, source-linked insights.
The Result
By connecting the research library to an automated pipeline, Zcash Foundation immediately reduced repetitive administrative work. Instead of manually adding, cleaning, and tagging entries, staff now approve new resources with a single click while the system handles deduplication and enrichment in the background.
This automation saves an estimated 4 to 6 hours per week, previously spent maintaining spreadsheets, while significantly reducing errors and inconsistencies. With AI-generated metadata, users can now search and filter the research library 20–30% faster, making it easier to locate relevant humanitarian aid and privacy studies.
Most importantly, the Zapier chatbot can now draw from a structured, trusted data source to answer complex research questions and surface evidence-based insights in minutes instead of hours. This has improved research efficiency, strengthened collaboration, and made it far easier for the foundation to share its knowledge externally without adding operational overhead.
