Lacking time to learn Zapier, he hired Fiverr expert Ashar Malik to implement the automation.

When clients booked a meeting through Calendly, they automatically received an email containing a link to the pre-consultation questionnaire, ensuring they completed it before their appointment.
Automated Reminder Email Sent
Final Questionaire Completion Check
On meeting day, a final check confirmed the questionnaire was completed. If not, the meeting was automatically canceled, and notifications were sent to both Dr. Cody and the client.
The Result
The automated system canceled 15% of meetings where clients did not complete the questionnaire, effectively freeing up Dr. Cody’s schedule to focus on prepared clients and other critical tasks. By automating the lead qualification process, Dr. Cody saved an estimated 10 hours per week that were previously spent on administrative tasks related to scheduling and follow-ups.
