BAS Recruiting is a specialized staffing and recruiting firm focused on Building Automation and Controls (BAS) professionals across the United States. Founded in 2019, the firm operates within the professional services and employment sector, serving niche technical markets including building automation, HVAC, industrial systems, construction, manufacturing, and related technology roles. BAS Recruiting supports clients through targeted sourcing, screening, and placement of highly specialized talent, helping organizations fill critical BAS and automation positions with qualified professionals.
The Challenge
BAS Recruiting relied on several disconnected systems, including Cognism, SharePoint, Google Sheets, RingCentral, and Zoho Recruit, to manage candidate outreach and tracking. Contacts moved inconsistently between platforms, creating confusion over which system owned the data and which tool was triggering outreach. Automated texts were sometimes sent multiple times, even after candidates replied, increasing the risk of over-messaging highly targeted professionals. At the same time, SharePoint-based call lists stopped updating reliably, forcing the team to consider manual fixes. These issues consumed time, introduced data risks, and made outreach difficult to scale with confidence.
The Solutions
We designed a coordinated automation that connected BAS Recruiting’s existing tools into a single, structured workflow. Cognism exports now trigger automated routing that enriches contacts, applies filters, and updates both SharePoint-based Excel lists and Zapier Tables simultaneously. Zapier Tables act as a centralized control layer, ensuring each contact receives only one outbound text via RingCentral. Incoming replies are automatically analyzed and classified, then routed appropriately. Positive responses are matched back to their original records and used to create or update candidates in Zoho Recruit, while neutral or negative replies update status and interest fields for accurate follow-up. This clear separation of responsibilities eliminated duplicate messaging and restored reliable call list creation.

The Result
After implementation, BAS Recruiting reduced manual data handling and duplicate outreach significantly. SMS outreach is limited to a single, well-timed message, improving response handling accuracy by approximately 20 to 30 percent.
